Managing user info, roles and permission

User Administration for Outlets can be found in the Group Settings. Click on your company name, then click on "Group Settings".

On the "User" tab, click on "Add New User".

There are five different user roles for Outlets.

Admin

Admins are the super users: He/she can manage Outlet settings, set up other users, add new orders, approve orders, and manage Supplier and product information.

This should only be given to the senior leadership.

User Permissions

  • Receive order notification - Toggling this on will allow you to receive email and in-app notification of orders (eg. when an order is accepted by your Supplier or when an order has been scheduled for delivery).

  • Receive system emails - Toggling this on will allow you to receive emails besides order notifications (eg. when you receive connection requests/price proposals etc).

Manager

The Manager role has the option to manage more than one Outlet, you can do so by toggling the "Allow Group Permission" setting. Otherwise, you can choose to give a manager access to only one Outlet.

A purchase limit can be set for the role: should an order beyond the purchase limit be placed by the manager, the order will require an approval by the Admin.

User Permission

  • Create order - Toggling this on will let the users place new orders to Suppliers.

  • See product - Toggling this on will give the user permission to the product page, where they can see product info and price

  • Receive order notification - Toggling this on will allow you to receive email and in-app notification of orders (eg. when an order is accepted by your Supplier or when an order has been scheduled for delivery).

  • Manage pending update - This permission will allow the user to complete offline orders. Users with this permission will also receive an email notification when other users upload a picture to log an offline order.

  • Receive system emails - Toggling this on will allow you to receive emails besides order notifications (eg. when you receive connection requests/price proposals etc).

Orderer

The Orderer can create orders, complete orders, open and resolve disputes. A purchase limit can also be set for the role.

Ideal for someone who routinely places orders and the main point of contact with Suppliers.

User Permission

  • Create order - Toggling this on will let the users place new orders to Suppliers.

  • See product - Toggling this on will give the user permission to the product page, where they can see product info and price

  • Resolve Dispute - This permission will let the user mark a disputed order as "Completed with Dispute"

  • Receive order notification - Toggling this on will allow you to receive email and in-app notification of orders (eg. when an order is accepted by your Supplier or when an order has been scheduled for delivery)

  • Manage free supplier products - This permission will allow users to edit free supplier products pricing and visibility.

  • Manage pending update - This permission will allow the user to complete offline orders. Users with this permission will also receive an email notification when other users upload a picture to log an offline order.

  • Receive system emails - Toggling this on will allow you to receive emails besides order notifications (eg. when you receive connection requests/price proposals etc).

Receiver

As the name suggests, the Receiver role is in charge of checking that the products received are complete and correct, and where orders are incorrect, the Receiver will be able to raise disputes. This role can also raise offline orders to record the receipt of products.

  • See product - Toggling this on will give the user permission to the product page, where they can see product info and price

  • Receive order notification - Toggling this on will allow you to receive email and in-app notification of orders (eg. when an order is accepted by your Supplier or when an order has been scheduled for delivery).

  • Receive system emails - Toggling this on will allow you to receive emails besides order notifications (eg. when you receive connection requests/price proposals etc).

Finance

This role has the permission to manage Supplier and product information such as prices, perfect for the accounting team.

  • See product - Toggling this on will give the user permission to the product page, where they can see product info and price

  • Receive order notification - Toggling this on will allow you to receive email and in-app notification of orders (eg. when an order is accepted by your Supplier or when an order has been scheduled for delivery).
